What is a preferred first name?

A preferred first name may be used in place of your legal name at Yale to identify yourself regardless of whether you have legally changed your name.

Where can my preferred first name be used?

  • Yale email address (you may use either your first name or preferred first name)
  • ID card (you may use either your first name or preferred first name)
  • Yale's online directory (coming early February 2017)
  • Learning management systems (e.g. Canvas, Classes v2)
  • Student advising systems
  • Online Course Selection (OCS)
  • Yale Degree Audit (Yale College & Law only)
  • University policy allows students to indicate a preferred first name different from their legal first name on their diploma. Students should communicate directly with their registrar regarding this change.

Where is my legal name used?

  • Yale email address (you may use either your first name or preferred first name)
  • ID card (you may use either your first name or preferred first name)
  • Student accounts and bills
  • Student employment and paychecks
  • Financial aid documents
  • Enrollment and degree verification certificates
  • Official transcripts

How do I add, change, or delete my preferred first name in my system of record?

You may edit your existing preferred first name, enter a new preferred first name, or delete your existing preferred first name in your system of record (Workday or Student Information System).

Students:

Faculty and staff:

  • Login to Workday
  • Click on "Personal Information"
  • Click on "Preferred Name"
  • Uncheck the Use Legal Name As Preferred Name box
  • Replace first name that appears with new first name desired
  • Click Submit

I changed my mind. How do I go back to using my legal first name?

Students:

  • Visit the Student Information System website
  • Click on the "Personal Data" menu, and select "My Preferred Name"
  • Change or remove the text in your "preferred name"   
  • Select Save

Faculty and staff:

  • Login to Workday
  • Click on "Personal Information"
  • Click on "Preferred Name"
  • Check the "Use Legal Name As Preferred Name" box
  • Click Submit

Managing email addresses

Does changing my preferred first name automatically update my Yale email address?

Students: No. Select the Yes checkbox indicating you'd like to use your preferred name for the email alias, then a ticket will be created with the ITS Help Desk and the new email address will be created. 

If you select "make primary" then the new email address will be the primary email address that displays in all Yale systems such as the online directory.  You may return at any time to change this preference by visiting the Student Information System website.

Faculty and staff: Using any web browser but Safari, complete and submit the online request form to request your new preferred first name be used in an email address.

What difference does it make which email address is my primary one?

Your primary email address will appear in the many Yale systems and in the YaleConnect and EliApps address books. The learning management systems, Canvas and ClassesV2, as well as the Yale online directory will also use your primary email address.

What happens to my old email address after I've changed it to include my new preferred name?

You will continue to receive email sent to both email addresses.

Can I use my legal name as my email address with my professors and potential employers but use my preferred name as my email address with other Yale students?

Yes, students using EliApps can send and receive email from both email addresses. Your primary email address is whatever you have indicated as your primary. However, individuals using EliApps may send email using an address other than primary. See How do I Send Mail From Another Email Address for more information.

Faculty and staff using YaleConnect may only send email from their primary email address, but will continue to receive email sent to all active email addresses.

How do I change the name that is displayed next to my email address when I send email?

After you have changed your preferred name in your system of record (Student Information Systems or Workday), see:

YaleConnect:

Individuals using YaleConnect will have their name updated automatically one day after it has been changed in their system of record (Student Information Systems or Workday).

How do I change the name that displays before my email address on full message headers?

Email header information always displays your primary email address. Update your preferred name in your system of record (Student Information Systems or Workday) to change your primary email address.

How do I send mail from another email address in EliApps?

You can send email from multiple email addresses.  Please see: How do I send mail from another address using EliApps for instructions.

How do I change my email address back to my legal name?

Students: Delete your preferred name in your system of record by visiting the Student Information System website. This will generate a ticket to the ITS Help Desk who will fulfil the request.

Faculty and staff: Delete your preferred name in Workday and using any web browser but Safari, complete and submit the online request form.

What happens to email sent to an email alias that I've deleted?

The sender will receive a bounce notification and the email will not be delivered. Advise the person sending the email to update their personal contacts/address book to reflect the correct address.

I changed my preferred name; however, when people go to send me email in EliApps, why does my name appear incorrectly?
